Production Coordinator

We are seeking someone who is highly organized, fosters detailed communication and close working relationships, and has a natural persistence to keep things streamlined. The Production Coordinator will support the sourcing team by fulfilling administrative and process related responsibilities including, system maintenance, reporting, and daily correspondence with vendors and interdepartmental teams to ensure the efficiency of the production process. This position will report directly to the Production Analyst.


  • Vendor management in system
  • PO issue and maintenance (split shipments, in transit records, receivers, close po’s)
  • Manage cost entry and updates
  • Ensure overseas factories maintain bulk delivery schedule
  • Vendor WIPS: Communicate daily with all vendors/agents regarding changes/updates in all phases of production process (including initial and revised T&A)
    • Troubleshoot shade band/color issues against T&A
    • Monitor T&A to ensure TOP samples are approved on time, and production dates are valid
    • Chase xfty date for replenishment units if they were short shipped
    • Schedule 3rd party final inspections and track
    • Ensure bookings from factory to forwarders are scheduled on time; negotiate and confirm cost and booking to freight forwarder
    • Track all shipments from xfty to delivery to the DC
    • Reconcile WIP against PSR (production status report) that is issued weekly
  • Conduct and issue agendas for weekly meetings
  • Communicate late shipments (missed campaigns) and all due dates for PO issuance
  • Validate invoice amount for finance account payable; email weekly upcoming payments
  • Assist in the monthly Dash Board, weighted cost / highest tiered costing average unit cost reports


  • BA in Business, Fashion Merchandising, or related field
  • 3+ year of production experience and or basic understanding of garment construction/production
  • Basic knowledge of fabrics and costing requirements
  • High proficiency in Excel and other Microsoft Office Suite programs
  • Excellent written and verbal communication skills
  • Extremely organized and detail oriented
  • Proactive with a curiosity to learn and take on new tasks
  • Team Player
